JOB DESCRIPTION
QUALIFICATIONS:
1. High school diploma or equivalent;
2. At least two (2) years of related administrative work
experience or one year of subsequent vocational training in clerical/administrative
duties.
3. Ability to interact successfully with program
participants and members of the team
4. Excellent skills in communication both orally and in
writing along with appropriate phone etiquette
5. Experience with MS-Office (Word, Excel, PowerPoint and
Outlook)
6. Bilingual (English/Spanish) writing and speaking abilities
is preferred
DESCRIPTION OF DUTIES:
1. Prepares and processes confidential correspondence,
reports, agendas, and general papers; composes and types routine
correspondence, memos, letters, reports, etc.; processes forms, schedules,
contracts, grants, and general correspondence; prepares and edits documents as
required.
2. Assists and maintains departmental databases,
researches, gathers, and analyzes data.
3. Regularly coordinates the activities of the department
and keeps track of staff appointments
4. Arranges conferences and meetings for staff, prepares
and assembles materials and resources as needed, schedules and confirms appointments
and arranges meetings; screens phone calls; maintains schedules and calendars;
monitors inventory as necessary.
5. Excellent phone and interpersonal skills with a focus
of strong organizational skills
6. Good temperament to be able to adapt and relate to
different personalities
7. Ability to type and operate personal computer, various
software programs, and modern office equipment
8. Ability to maintain confidentiality
9. Multitasking required with need to work under pressure
at times
10. Provides administrative support to Healthy Family
Staff as approved by supervisor
11. Other duties as assigned
Physical Demand
1. Ability to stand or sit for long periods of time
during working hours and on special occasions.
2. Ability to effectively utilize computer software
programs with proven ability to have manual dexterity to maintain specific
databases and reports.
3. Excellent auditory, verbal and sensory skills and
abilities.
Mental/ Visual Demand
1. High attention to detail involving normal mental and
visual attention.
Working Conditions
1. Professional business office setting.
