Job Description

 

TITLE:  

Corporate Office Receptionist  

QUALIFICATONS:

1.      Associate’s Degree from an accredited educational institution with 1 to 2 years of successful demonstrated experience in an office setting, or 5 years or more successful experience in an office setting with a high school diploma/GED.

2.      The ability to communicate in Spanish/English both orally and written is required, including the proper use of spelling, grammar and punctuation;

3.      Technologically competent and savvy, with a particular emphasis on Microsoft Office Suite, including Outlook, Excel, Word & PowerPoint;

4.      Flexible, self-starter with the ability to multi-task while also being highly detail-oriented;

5.      Familiarity and ability to operate a multi-line telephone system, computer and other standard office equipment including but not limited to; fax machine, copier, postage machine, etc. 

6.      Ability to handle a high volume of telephone calls with professional etiquette, courtesy, speed and accuracy;

7.      Strong self initiative skills; 

8.      Excellent interpersonal skills:

a.       maintain effective working relationships with Square One staff and those involved in the course of work;

b.      Communicate with the public in a courteous and professional manner by telephone and in person;

9.      Ability to work independently or as member of a team;

10.  Understand and carry out written and oral instructions. 

 

DESCRIPTION OF DUTIES:

 

The job duties include but are not limited to:

 

1.      Using a multi-line telephone, answers and appropriately routes all incoming calls, ensures that the phone system is properly activated after hours and before hours, updates messages for business emergencies or weather closures.   

2.      Receives, directs and relays fax messages and ensures confirmation of such.

3.      Receives and greets visitors in a friendly and professional manner and direct visitors to their proper destination; maintains the receptionist area to ensure that it remains clean, organized and efficient for staff and customers alike.   

4.      Performs general administrative duties: Assist other administrative staff with overflow work, including gathering supplies, making copies, distributing materials, word processing, data entry, collating, project work, internet research and other duties as assigned;

5.      Maintains an adequate inventory of office supplies including photo copier, fax machine, postage meter, etc and monitors usage to ensure supplies are properly ordered when necessary.

6.      Coordinates the repair and maintenance of all office equipment.

7.      Assists in planning and preparation of meetings, conferences and conference
telephone calls
.

8.      Pick up, sort and distributing incoming mail; date stamp all correspondence.

9.      Initiates and enhances operational systems to enhance the flow of work for staff, managers and employees.  

10.  Assists in special events like the annual meeting and tea party.

11.  Other duties as assigned by Supervisor
