JOB DESCRIPTION
TITLE: Family Service
Coordinator
QUALIFICATIONS:
- Associates Degree in
Business or related field of study with two years of successful experience
or High School Diploma and seven
years successful experience in a customer service setting.
- Ability to multitask, strong attention to detail
and organization; ability to prioritize and complete tasks prior to
deadlines.
- Ability to work cooperatively and as a member of
a team with parents, staff, family child care providers and the
community-at-large. Conduct
yourself and appearance in a professional manner at all times.
- Requires reliable
transportation to travel to all Square One programs sites and training
programs throughout the Pioneer Valley.
- Computer proficiency in MS Office Suite including
Excel, Access, Word and Outlook for e-mail.
- Demonstrated understanding of applicable standards and
regulations relative to funding sources such as EEC and NEFW contracts as
they relate to the enrollment of children in centers and family based
programming.
- Bilingual skills in both English & Spanish
are preferred.
- Flexible hours are necessary.
DESCRIPTION OF DUTIES
The
Family Service Coordinator will perform a variety of tasks that include, but
which are not limited to:
- Creating and
maintaining files for each assigned child/family.
- Providing programming
information to parents in need of childcare services.
- Coordinating placement of children into all Square
One programs.
- Scheduling and
coordinating parent-child visits
to Square One Programs.
- Scheduling,
assigning and/or conducting intake
interviews.
- Providing and entering
all data related to a child’s enrollment.
- Verifying start date
and informing appropriate program staff.
- Ensuring all
appropriate paperwork is at the proper program/center on or before the
enrollment date.
- Maintain child files as
related to reassessments, physicals and other required documentation.
- Ensuring all data and
documentation related to the enrollment of children adheres to guidelines
set by funding sources.
- Ensure continuous
compliance with all funding source regulations and revisions.
- Coordinating transfers between
Square One Programs/Centers.
- Working with the
Director of Transportation on all transportation issues as they relate to
a child’s enrollment.
- Coordinating data for
the agency-wide “Waitlist” as specified under the EEC contract.
- Coordinating information
for a roster of all enrollments and terminations to ensure full contract
utilization
- Determining parents
fee’s and assisting in the
collection of fees as requested.
- Providing data-entry,
retrieval and compilation of reports.
- Responding to requests for information relative to
intakes, enrollments, terminations, and enrollment statistics.
- Responding to inquiries
from Agencies and individuals regarding programmatic services.
- Supporting and working
cooperatively with parents to secure appropriate documentation related to
enrollment and reassessments of children.
- Preparing and
distributing advance notice of termination and enrollment data to
appropriate personnel in a timely fashion following established
policies. Coordinate
enrollments/terminations slots with Square One Programs/Centers to ensure
accurate data is completed and used effectively.
- Inform Directors of
termination notice status and actual terminations.
- Coordinate enrollment
and terminations with Square One Programs/Centers.
- Represent Square One at
promotional events, trade shows, community fairs/outreach efforts s
requested.
- Working in conjunction with the Intake
Coordinator to track and report status of funding sources including
grants, scholarships and state contracts to ensure accurate accounting of
available subsidies for parents as it relates to a child's enrollment.
- Other duties as assigned.
Physical Demand

to maintain specific databases and reports.
