JOB DESCRIPTION

 

Title:  supervising coordinator of enrollment services

 

Qualifications:

 

1. Personal qualities and ability to establish and maintain positive relationships with parents, staff, outside agencies and the community.

 

2. Associates Degree in Early Education and Care or a closely related field with at least three years work experience in an Early Education and Care setting.

 

3.  Outstanding oral and written communications skills and abilities.

 

4.  Computer proficiency skills in MS office.

 

5.  Flexible schedule to meet organizational needs.

 

6.  Flexibility, self-direction and attention to detail in prioritizing and completing task assignments.

 

 

DESCRIPTION OF DUTIES:

 

1. Process all incoming enrollment inquiries for Center-based, School-Age and Family Child Care programs.

 

2. Oversee and monitor appropriations of funding sources. (Department of Early Education and Care, New England Farm Workers Vouchers, Community Partnership, United Way and private scholarships.)

 

3.  Assist Family Service Coordinators and Directors in efficient utilization of funding sources.

 

4.  Serve as liaison with the Department of Social Services and the YWCA for appropriate placement of Supportive Service and YWCA Teen Parent referrals.

 

5.  Maintain consistent oversight of all enrollment functions in center, program and Family Child Care settings.  These functions include:  enrollment, termination, and reassessment, assignment of funding source, fee collection, attendance and other required billing information.

 

6. Establish and facilitate regularly scheduled Enrollment Task Force Meetings with Family Service Coordinators and Directors.

 

7. Consistently review established enrollment systems for effectiveness and efficiency, with input from Family Service Coordinators and Directors. 

 

8.  Attend trainings to enhance knowledge in all areas of the enrollment process.

 

9.  Facilitate positive team dynamics.

 

10.  Meet regularly with members of the Billing Department to coordinate and maintain effective systems. 

 

11.  Provide positive leadership in best enrollment practices, problem solving and system effectiveness and efficiency.

12.  Provide weekly enrollment updates to the Executive Vice President of Programs.

 

13.  Provide supervision, oversight and direction of Family Service Coordinators in conjunction with Directors.

 

14.  Process billing requirements for Supportive Service and YWCA Teen Parent contracts.

 

15. Other duties as assigned.

 

 

Physical and Mental Demands:

 

1.  The working environment will be in a professional business office environment.

 

2.  Lifting up to 30 lbs.

 

3.  Good manual dexterity and attention to details.

 

4.  Excellent hand and eye coordination is essential.

 

5.   Ability to travel to various site locations.
